Overview

Overview

Step 1. From the storefront, customers can submit a quotation request. To start, customer can choose a product, the size, quantity, and color. Scroll down and click the option for Order by Quote. On the Request Quote page, fill out the form and click Submit once done. The quote request is sent to the admin portal.

Step 2. From the home page, navigate to Quote Management, and select View Quotes. This page will show all quotation requests received. Look for the newly submitted quotation request which has Quotation Pending status.

Step 3. The Action button next to the quotation request provides two options:

Edit – which can be used to update/communicate with the customer regarding the request quote and

Delete – to delete the quote request.

Admin Quote Response

Responding to Online Quote

Step 1. Login to your admin side, navigate to Quote Management > View Quotes.

Step 2. Select the Quote you would like to manage > Click Action > Edit

Step 3. Review the Quote details (find the details on the left hand side) and click ‘edit’ button if required

Step 4. Response to the Quote (top right hand side). You have an option to enter the price for the quote, post message to the customers (to ask for more information),  or cancelled the quote.

Use the ‘Upload File’ button when you required to send the customers a file to check, you also have an option to not sending customers notification if needed.

Step 5. When you have enough information and would like to send your customers the quote price. Fill out the details on the prices box underneath the ‘Quote Action’ box.

The store final price will automatically be calculated when you have put the price for vendor price (wholesale price) and design service charge (put ‘0’ if you are not charging design service.

note: you can also use the ‘Online Price Calculator’ button to get the online prices details. product weight is also important as its will determined the shipping cost. In a case you would like to send a price options for different quantities for your customers – simply fill out the other 2 boxes.

Step 6. Click Save to send the quote price to your customer (you can see the quote history at the bottom of the page).

Admin Quote Response (Messaging Customers)

Quote Communication

In a case where the customers answers to the quote brief are not clear, you have the option to ask the customers for more details.

Step 1. Login to your admin side, navigate to Quote Management > View Quotes.

Step 2. Select the Quote you would like to manage > Click Action > Edit

Step 3. Right under the ‘Quote Action’ on the right hand side > tick the ‘Post Message to Customer’

Step 4. Write down the comments/questions on the comments box. Upload the file if required.

important: do not forget to leave the ‘send customer notification’ to green in order to notify the customers.

Step 5. Click ‘Save’ to send the comments/questions to your customer.

note: once saved you will be able to see the history at the bottom of the page.

Admin Quote Response (Canceling Quote)

In a case where you would not like to go ahead with the customers quote.

Step 1. Login to your admin side, navigate to Quote Management > View Quotes.

Step 2. Select the Quote you would like to manage > Click Action > Edit

Step 3. Right under the ‘Quote Action’ on the right hand side > tick the ‘Quote Cancelled’

Step 4. Write down the comments/questions on the comments box to let your customers know why you canceling the quote.

important: do not forget to leave the ‘send customer notification’ to green in order to notify the customers.

Step 5. Click ‘Save’ to send the comments/questions to your customer.

note: once saved you will be able to see the history at the bottom of the page.

Processing Approved Quote (Customers Upload Artwork)

Once the customers have approved the quote > uploaded their artwork and paid. It will convert the quote to an order.

Step 1. Login to your admin side, navigate to Order > List Orders.

Step 2. Find the Order (best way to find the quote order is from the order icon – see below screenshot)

Step 3. Click Action > View/Edit Order.

Processing Approved Quote (Customers Artwork Request)

Once the customers have approved the quote > selected ‘waiting for artwork’.  It will convert the quote to an order with customers waiting for the artwork.

Step 1. Login to your admin side, navigate to Order > List Orders.

Step 2. Find the Order (best way to find the quote order is from the order icon – see below screenshot)

Step 3. Click Action > View/Edit Order.

Step 4. On the ‘View Orders’ tab under the ‘Order Product Details’ section you will be able to see the ‘Upload Design Proof’ button.

Step 5. Upload the design proof for your customer

Important: tick the ‘Ask for Approval’ & ‘visual proof ‘ for customers approval & revision editor which will update the status to ‘awaiting proof approval’ and always tick the customer notification box to send the email notification to the customer.

Step 6a. Once the customers Approved the order status will automatically change to ‘Proof Approved’ (for Admin Products the order will automatically sent to the printer, for Non-Admin Products the order will be ready to be sent to the printer).

Step 6b. In a case the customers rejected the proof and asking for revision – the status will be changed back to ‘awaiting proof approval’ and process will be going back to step 4.

Quote Questions

Quote Questions

Step 1. From the home page, navigate to Quote Management, and select Manage Quote Form Fields. The Quote Form Field listing page will show all the existing questions that are asked on the quotation form.

Step 2. To add a new question, simply click the Add button.
